Privacy Policy
Last Updated: 2025-11-18
This Privacy Policy applies to YouTubeToTranscripts (the “Website”). We operate on the principles of minimization, transparency, and security, processing only the data necessary to provide the features. We do not build advertising profiles or sell your personal information.
Scope and Definitions
When you visit, enter a video link or videoId, view subtitles, or use translation and export features, this policy explains how we handle related data.
- “Personal Information” refers to data that can identify an individual (e.g., IP addresses may be considered personal information in certain jurisdictions).
- “Processing” refers to any operation on data, including collection, transmission, caching, display, export, and deletion.
Data We Process
- Video identifiers and addresses: the URL or
videoIdyou input, used to fetch subtitles and basic video information. - Subtitle content: timestamps and text, used for display on the page, copying, and export (TXT/SRT/VTT). Basic text cleaning is applied to improve readability.
- Basic video information: title, author, likes (where obtainable), used to enhance viewing and export experience.
- Translation text: when you enable translation, subtitle text is sent to public translation services and results are returned.
- Runtime and error logs: to ensure service stability, the server may record timestamps, request paths, response status codes, a small set of standard HTTP headers (such as User-Agent and IP), and error information.
We do not require you to create an account, log in, or upload local files, and we do not proactively collect contacts, precise location, or payment information.
Data Sources and Technical Implementation
- Subtitle fetching: reads publicly available subtitle data via official or mirror endpoints.
- Basic info fetching: extracts title and author through public web metadata or compatible endpoints.
- Text cleaning: simple denoising and tag removal to improve reading quality.
- Short-term caching: LRU in-memory cache is used to store results for faster responses, expiring automatically.
- Export and copying: file generation happens locally in your browser; copying writes directly to your clipboard and is not uploaded to the server.
Purposes and Legal Bases
- Fulfilling your request: retrieve subtitles, display, and export according to your instructions (contract and service necessity).
- Service security and stability: for protection, troubleshooting, and operational monitoring (legitimate interests).
- Compliance obligations: cooperate with regulators or law enforcement when legally required (legal obligations).
Third-Party Services
- YouTube: reads subtitles and basic video information from public webpages and endpoints, subject to YouTube’s terms of use.
- Translation services: sends subtitle text to public machine translation services to return results.
Third parties have independent privacy policies and data processing rules. Please refer to their policies and make your own assessment when accessing or using third-party resources.
Cookies, Local Storage, and Time Settings
We do not use third-party cookies for advertising or cross-site tracking, nor do we proactively set custom persistent cookies. For basic functionality and security, your browser, framework, or hosting provider may automatically set a small number of necessary technical cookies (e.g., session and routing markers). These cookies are used only for technical operation, not for profiling or cross-site tracking.
Cookies are small text files stored in your browser by websites or third parties to identify sessions, retain preferences, or enable security and statistical functions. Common classifications include:
- By lifespan: session cookies (expire when the browser closes) and persistent cookies (expire after a defined period).
- By source: first-party cookies (set by the site you’re visiting) and third-party cookies (set by embedded external services such as video players).
- By purpose: necessary and functional (login sessions, routing, language preferences), analytics and performance (visit counts, error rates), and advertising/personalization (ad delivery and measurement).
- Necessary cookies: may be set automatically by frameworks or hosting platforms for basic operation and security; not used for advertising or tracking.
- Functional preferences: language and similar preferences are primarily inferred via URL paths; we currently do not rely on cookies for persistent storage.
- Third-party and advertising: embedded third parties such as the YouTube player may set cookies under their own policies for advertising delivery or personalization; these are controlled by the third party. The Website does not participate in ad targeting or cross-site tracking.
- Disable and control: you can disable or block third-party cookies, control per-site behavior, or clear history in your browser’s privacy settings; using incognito/private mode can also reduce cookie writes.
- Ad personalization control: on third-party accounts (e.g., YouTube/Google), you can disable ad personalization or manage cookie preferences to reduce ad-related cookie usage.
- Impact of disabling: in most cases, disabling cookies will not affect core functions such as subtitle fetching, viewing, and export, but it may affect stability of protections or routing capabilities provided automatically by platforms.
Examples of possible third-party cookies (subject to third-party policies; names and durations may change): from YouTube/Google, YSC, VISITOR_INFO1_LIVE, PREF, CONSENT for session identification, player functions, or preferences; from ad networks (e.g., doubleclick.net), IDE for ad measurement and frequency control. These cookies’ setting, purposes, and retention are managed by the third party.
To avoid inconsistencies caused by differences between server and client environments, we set a default time zone (UTC) in internationalization configuration to improve display consistency. This setting does not involve personal information and is not used for tracking.
Data Retention and Deletion
- In-memory cache expires automatically and is cleared; no persistent storage.
- Exported files and copied content are generated and stored on your local device; the server does not retain them.
- Runtime logs are used only for necessary operations and security purposes and are deleted or anonymized within a reasonable period.
Security and Risk Notices
- We use minimization and non-persistent design to reduce data exposure and misuse risks.
- When cross-border access is unavoidable, we strive to minimize the volume and sensitivity of transmitted data.
- Please ensure your device security, keep your browser updated, and use encrypted network connections (e.g., HTTPS).
Sharing and Disclosure
We do not sell your personal information. Data may be disclosed only in the following circumstances:
- Interacting with necessary third parties to fulfill your instructions (e.g., translation services or video platforms).
- Fulfilling legal obligations or responding to valid law enforcement and regulatory requests.
- Protecting service and user security, and preventing fraud and abuse.
